1. Introduction
The Elite Negotiator™ ("we", "us", "our") is committed to protecting your privacy. This policy explains what personal data we collect, how we use it, and the choices you have. We comply with the EU General Data Protection Regulation (GDPR) and all applicable data protection laws.
2. What data we collect
- Account data: your name, email address, and role (user or admin) when you are invited to the platform.
- Assessment responses: your answers to any self-assessments you complete, together with the computed scores and resulting profile.
- Workspace data: negotiation Blueprint™ sessions and Meeting Notes you create — these are private to your account.
- Access permissions: records of which assessments and My Space zones your administrator has granted you access to.
- Usage data: anonymised analytics about how you navigate the site, collected via cookies (see section 7).
3. How we use your data
We process your personal data under the following lawful bases:
- Contract (GDPR Art. 6(1)(b)): to provide the platform features you have been granted access to, including assessments, negotiation planning tools, and coaching materials.
- Consent (GDPR Art. 6(1)(a)): to email you your assessment results when you explicitly request them, and to send you platform notifications (see section 4).
- Legitimate interest (GDPR Art. 6(1)(f)): to maintain the security and integrity of the platform and to communicate essential account information.
4. Email communications
We send the following types of email to registered users:
- Account invitations: when an administrator invites you to the platform, you receive an email to set your password.
- Access notifications: when an administrator grants or updates your access to assessments or My Space zones, we send you a confirmation email listing the features you can now use. This helps you stay informed about what is available to you.
- Assessment results: when you complete a self-assessment and consent to receive your results by email, we send your full profile to the email address you provided.
We never use your email for marketing. You can opt out of assessment-result emails at any time using the unsubscribe link included in each message. Account and access-notification emails are essential to the service and cannot be opted out of.
5. Data retention
We retain your account data and assessment results for as long as your account is active. Your negotiation Blueprint™ sessions and Meeting Notes remain private to your account and are deleted when you delete them. You may request deletion of your account and all associated data at any time (see section 8).
Pseudonymized validation data is retained in accordance with the applicable retention policy and is not retained indefinitely merely because it is used for product validation.
6. Data sharing
We do not sell or rent your personal data. We share data only with trusted service providers who help us operate the platform (such as our email delivery and cloud hosting providers), under contracts that require them to protect your data and process it only on our instructions. We may disclose data where required by law.
7. Cookies
We use cookies for analytics purposes only — to understand how visitors find and use our site. We do not use cookies for advertising or tracking. You can accept or decline cookies using the banner shown on your first visit. See our cookie consent notice for more details.
8. Your rights
Under the GDPR you have the right to:
- Access the personal data we hold about you.
- Request correction of inaccurate or incomplete data.

9. Security
We implement appropriate technical and organisational measures to protect your data, including encrypted transmission, secure storage, and access controls limited to authorised administrators.
10. Product validation and improvement
We may use pseudonymized or aggregated assessment data to evaluate the quality, reliability and performance of the Elite Negotiator Index™, improve its methodology, and understand aggregate patterns across assessments and reassessments. Product validation and improvement may be carried out on pseudonymized and/or aggregated assessment data, subject to applicable data-protection requirements.
Data minimization: Validation datasets are designed to exclude direct identifiers such as names, email addresses, phone numbers and free-text identifying information. Where longitudinal analysis is required, records may be linked using a pseudonymous identifier generated from an internal account identifier.
Individual reporting: Validation analysis is not used to create manager-facing individual rankings or individual ethical-risk leaderboards. Team-level reporting applies anonymization, minimum-N rules, and suppression of individual ethical-risk data.
Purpose limitation: Validation and product-improvement analysis is separate from the delivery of an individual's assessment report. Validation analysis does not alter your production assessment score.
Retention: Pseudonymized validation data is retained in accordance with the applicable retention policy and is not retained indefinitely merely because it is used for product validation.
